Insurance download is the automated electronic transfer of policy data, billing information, claims details, and commission statements from an insurance carrier's systems directly into an independent agency's management system (AMS). Instead of manually re-keying policy information from a carrier portal into Applied Epic, HawkSoft, or AMS360, download pushes that data automatically — reducing errors, saving time, and keeping agency records synchronized with carrier records in near-real time.
Why Insurance Download Matters for Independent Agents
Manual data entry is one of the largest hidden costs in an independent agency. Every time a CSR logs into a carrier portal, copies a policy number, effective date, premium amount, and coverage details, and types them into the agency management system, the agency is paying for that labor. Beyond time savings, download improves data accuracy. Insurance download operates through IVANS (Insurance Value Added Network Services), which functions as the central exchange connecting carriers and agency management systems. The process works in several steps:
- The carrier generates download records — When a policy is issued, renewed, endorsed, or cancelled, the carrier's system creates a structured data file containing the transaction details
- IVANS transmits the data — The download file is routed through the IVANS network to the appropriate agency based on the agent code associated with the policy
- The AMS receives and processes the file — The agency management system imports the data, matching it to the existing client and policy records or creating new records as needed
- The CSR reviews and confirms — Most AMS platforms flag downloaded transactions for review rather than automatically overwriting existing data, giving the agency a chance to verify the information
Download comes in several types, each carrying different data:
- Policy download — Transmits declarations page data including policy numbers, effective dates, premiums, coverage limits, and named insureds. This is the most common and most impactful download type.
- Claims download — Pushes claim numbers, dates of loss, claim status, reserves, and payment information into the agency's system, keeping the agency informed about client claims without having to call the carrier.
- Commission download — Delivers commission statements electronically, allowing the agency to reconcile commissions against their own records automatically rather than manually reviewing PDF statements.
- eDocs and Messages download — Some carriers push actual policy documents (dec pages, endorsements, certificates) and underwriter messages through the download channel.
Major carriers like Hartford, Travelers, Progressive Commercial, and Liberty Mutual support policy download for most commercial lines. However, download quality and completeness vary significantly by carrier. Some carriers download full coverage details down to the endorsement level; others send only basic declarations data. Agents should evaluate each carrier's download capabilities when making appointment decisions.
The ACORD data standards underpin the download format, ensuring a common structure that different AMS platforms can interpret. When download records follow ACORD standards cleanly, the data maps into the AMS with minimal manual intervention. When carriers deviate from standards or send incomplete records, agencies experience download exceptions that still require manual cleanup.
Setting up download requires the agency to register with IVANS and provide their agent codes to each carrier. Most AMS vendors include IVANS connectivity as a built-in feature or an add-on module.
